Terms and Conditions for Something Special Events Ltd.

Introduction

These Terms and Conditions apply to all event styling services provided by Something Special Events Ltd. ("we," "us," "our"). By booking our services, you ("the client") agree to the following terms and conditions.

Booking and Deposit

2.1. A non-refundable deposit of 50% of the total cost is required to secure your booking. This deposit will be deducted from the final balance.

2.2. The deposit must be paid at the time of booking to secure your chosen booking date. Failure to do so may result in the release of your booking date.

Payment Terms

3.1. A 50% non-refundable deposit is required within 24 hours of the consultation to secure your booking. This deposit includes the delivery fee.

3.2. The remaining balance is due 8 weeks before the event date.

3.3. Payment can be made via bank transfer or another agreed method.

3.4. Failure to pay the remaining balance on time may result in cancellation of the booking without refund.

Changes to Booking

4.1. Any changes to the booking — including event date, location, or styling — must be sent to us in writing as soon as possible.

4.2. We’ll do our best to accommodate your changes, but availability and cost may be affected.

4.3. Changes to location: If the event location changes on the day, we will try to accommodate this. If the new location is further than the original, extra travel and setup costs will apply. If it is closer, no refund will be given.

4.4. Change requests not guaranteed:
If we cannot accommodate your change:

  • More than 8 weeks before the event: You may cancel or reschedule. If cancelling, your deposit will still be retained.
  • Between 4–8 weeks before the event: You may cancel or reschedule. If cancelling, 50% of the remaining balance (excluding the deposit) will be refunded.
  • Less than 4 weeks before the event: You may cancel or reschedule. If cancelling, no refunds will be issued.

Cancellations and Refunds

5.1. All deposits are strictly non-refundable, regardless of when the booking is cancelled. This covers our time, resources, and the date held for your event.

5.2. Cancellations made less than 4 weeks before the event will not be eligible for any refund.

5.3. Cancellations made between 4–8 weeks before the event will be refunded 50% of the remaining balance (excluding the deposit).

5.4. Cancellations made more than 8 weeks before the event will not incur further charges, but the deposit will still be retained.

5.5. If Something Special Events Ltd. needs to cancel the booking for any reason, a full refund will be issued, including the deposit.

5.6. If a discount code was used when booking and the event is later cancelled, the discount code cannot be reissued or reused, regardless of the reason.

Rescheduling

6.1. You may reschedule your event once at no extra cost, as long as the request is made at least 8 weeks before the event and subject to availability.

6.2. A £100 rescheduling fee will apply for any second or subsequent reschedules.

6.3. Rescheduling requests made less than 8 weeks before the event will follow the same terms as cancellation, and any payments made may be forfeited depending on the timing.

6.4. If we are unable to accommodate your rescheduling request due to availability, you can either:

  • Cancel the event (cancellation terms in Section 5 will apply), or
  • Choose an alternative date from available options.

Setup and Takedown

7.1. Setup and takedown times vary depending on the size of the event and the styling package selected. As a general guide:

  • A base package for 8 guests requires up to 60 minutes for setup.
  • A table setup for 12 guests typically requires up to 80 minutes.

7.2. Final setup and takedown times will be confirmed and agreed upon during the booking process. Clients must ensure that the venue is available and accessible during these agreed times.

7.3. If the venue has strict or limited access times that require a faster-than-usual setup or takedown, additional staffing may be needed. In such cases, an extra charge will apply, which will be discussed and agreed upon in advance.

7.4. For events ending after 11:00 PM, any takedown that occurs after 11:00 PM will incur an additional charge of £50 per occurrence.

7.5. Next-day collection may be available in certain cases, particularly on Sundays, but this is not guaranteed and must be discussed and agreed upon in advance. Availability is subject to scheduling and team capacity.

7.6. As a small, independent team, we ask for your understanding and flexibility regarding timing and logistics. We do our very best to accommodate all requests while maintaining the quality and care our styling deserves.

Event Styling

8.1. We will provide the event styling services as agreed upon in the proposal.

8.2. Any additional styling or changes requested on the event day will incur additional charges.

8.3. The client is responsible for ensuring that the venue is accessible and suitable for the setup of decorations and styling elements.

Hire of Items

9.1. All styling items provided by Something Special Events Ltd. are for hire unless otherwise stated.

9.2. The client is responsible for ensuring that hired items are returned in the same condition as they were provided.

9.3. Any loss or damage to hired items will result in additional charges to cover repair or replacement costs.

Photography

10.1. Any photographs of your event may be featured on our website, social media, or in other marketing material.

10.2. Photographs of children will not be used without the consent of their parents.

10.3. If you do not wish for photos of your event to be used, please let us know in writing prior to the event.

Liability

11.1. We will not be held liable for any injury, loss, or damage caused during the event unless caused by negligence on our part.

11.2. The client is responsible for ensuring that the venue has adequate insurance coverage.

Force Majeure

12.1. We will not be liable for any failure to perform its obligations where such failure is due to circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, or other emergencies.

Governing Law

13.1. These Terms and Conditions are governed by and construed in accordance with the laws of England and Wales.

13.2. Any disputes arising under or in connection with these Terms and Conditions shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Acceptance of Terms

14.1. By paying the deposit and securing a booking with Something Special Events Ltd., the client agrees to these Terms and Conditions.
